Nine sectors, nine versions of the same afternoon: someone re-typing something that already existed somewhere else. Here is what changes when the till, the stock room, the books and the team are one system instead of six.

These are composite scenarios — drawn from the shapes of business that run on Kardopal, not from one named customer each. We publish named stories only with that customer’s permission.

A homeware chain, three high-street units and a stockroom above the largest.

Before

Each shop kept its own spreadsheet. A customer asking “do you have this in the other branch?” got a phone call and a maybe. Stock counts happened twice a year and never quite agreed.

After

One catalogue, three locations, live stock per site. Staff answer the branch question from the shop floor on their phone, and transfers between shops are two taps instead of a van and a hope.

The kitchen stopped reading handwriting

An 80-cover restaurant with a bar, a small terrace and a Friday that decides the week.

Before

Orders were written, walked and shouted. Tickets got lost between the terrace and the pass, and the till total never matched what the kitchen thought it had cooked.

After

Orders go from the table to the kitchen screen the moment they are taken. The bill follows the table across rounds and staff changes, and close-of-day balances against what was actually served.

A drinks distributor supplying roughly 200 independent bars and cafés.

Before

Every order arrived as a phone call, a text or a photo of a scribbled list. Two people spent their mornings typing other people’s orders into a system.

After

Buyers order on account through their own portal, at their own tier and their own terms. The mornings went back to selling, and the pricing arguments went away because the price a buyer sees is the price they were given.

Two salons, nine stylists, and a booking book that lived on the front desk.

Before

Appointments came in by phone, Instagram DM and walk-in. No-shows were invisible until the chair sat empty, and commission was worked out by hand each month.

After

One diary across both sites with per-stylist availability. Clients book themselves, reminders go out on their own, and the month-end commission run is a report rather than an evening.

Proof of delivery that arrives before the argument does

A regional courier running fourteen vans out of one depot.

Before

Drivers carried paper manifests and a phone. “It was never delivered” took days to disprove, and the depot only knew where a van was if it called in.

After

Each drop is signed for on the driver’s phone with a photo and a timestamp. Disputes end in a link, and the depot can see the round without interrupting it.

Four places to update a price and four chances to forget one. Oversells happened on the channel that synced last, and returns were tracked in a folder of emails.

A commercial refrigeration firm with eleven engineers covering three counties.

Before

Job details were relayed by phone. Engineers arrived without the right part more often than anyone wanted to count, and the second visit was free.

After

The job card carries the site, the equipment, its service history and the parts last fitted. First-time fixes went up because the van was packed for the actual job.

The same number, typed twice

A price, a quantity, an address — entered in one system and then again in another, because the two were never introduced. Every re-type is a chance to be wrong, and the version you find later is a coin toss.

Answers that take a phone call

Is it in stock at the other branch. Did that invoice get paid. When is this customer due back. Questions a business should answer in a second, that instead interrupt two people.

Numbers that arrive too late

Margin worked out after the quote went out. Stock counted after the season ended. By the time the report is right, the decision it was for has already been made.
